There will be a two-week service disruption due to a RFID upgrade and Kōtui Server Migration

Key Dates

Monday 6 May 3.00pm – Wednesday 8 May 12.00pm – Richmond Library closed 

Richmond Library will close at 3pm on Monday 6th and reopen at 12noon on Wednesday 8th. This is to allow for the installation of new RFID security gates at both entrances.  The work is noisy and dusty and its not suitable for customers to be in the library during this time.

Thursday 9 May – Tākaka Library closed until 12.00pm 

This closure is to allow for the installation of new RFID security gates and the replacement of other RFID equipment.  The plan is to have the work completed in time for the library to open at midday.

Wednesday 15 May - Richmond, Motueka and Tākaka Libraries closed.

If you need some reading material for the 15 and 16 May we recommend that you visit the library before then.  No items are due between 14 May and 21 May so you need not worry about getting library books back on the 15th.

This closure is to allow for the migration of library data to their new storage location.  See below for additional information regarding this.

No access to Library App or Library catalogue or e-resources (e.g. Libby, BorrowBox, PressReader) from 8pm Wednesday 15 May until Friday 17 May.  So, if you're an eReader you'll need to revert to the paper version for these days. 

Thursday 16 May – all Libraries open with LIMITED SERVICES (this includes Murchison Library) 

Items can only be issued at the service desk (no self-check kiosks)Be prepared to wait to have your items issued.  If you don't like standing in queues, then come in before Wednesday 15th to borrow your items. Our APNK internet services, printing and photocopying will be available.

Additional information about the changes to Library Computer System (Kōtui Server Migration)

We are making changes to the system that Tasman District Libraries uses for our library catalogue, customer records and a variety of other library services. Currently your library membership details are held in data centres located in Christchurch and Auckland. From 17 May 2024, this data will be moved to data centres in Melbourne and Adelaide. 

Why are we making this change? 

The reason for this change is so that we can continue to offer modern library services and to maintain robust security of library and customer information. In the constantly-evolving and fast-moving world of technology services, it’s really important that our library management systems are future-proofed. In addition to continuing to provide a secure service to our customers, making these changes now also means that our systems will be able to benefit from future enhancements. 

How will this change affect me? 

The main thing for you to be aware of is that from 17 May, your library membership information will now be stored in secure data centres used by our vendor (Sirsidynix Ltd) which are based in Australia. 

What information is held in my customer record? 

The information you provided when you joined the library is stored in your library customer record, including your name, your date of birth, your contact email address, and your home address.  

I don’t want my membership data going to Australia. What are my options? 

The new data centre meets ISO international standards for security and reliability. Library information held there will be accessed via an encrypted virtual private network, and will not be exposed to the public internet. We are confident that library information including membership data will remain secure. We hope this provides reassurance for our customers. 

If you do not wish for your own data to be part of this move, you may choose to cancel your library membership no later than Monday 13 May. We are not able to make any exceptions to library membership information being moved to the Australia-based data centre. Note that while borrowing is not possible without membership, there are many in-library services that will remain available. 

How long is my data kept? 

Our library has a policy to remove customer data if the library card is not used for a period of five years. 

If you would like your data to be removed from our systems sooner, please get in touch with us to request this. 

(Note that if there are any outstanding fees owing on the account, these will need to be paid before the account can be fully closed.) 

What was the process for making this decision? 

Tasman District Libraries is a member of a New Zealand-wide consortium of public libraries called Kōtui, which is managed by the National Library of New Zealand.  

The National Library, as part of the Department of Internal Affairs (DIA), followed the expected project protocols to ensure that all systems and vendors involved were compliant with DIA security requirements. 

Based on information provided to Tasman District Council our management team agreed to this infrastructure change, as did all other members (40 local councils) of the Kōtui consortium.
