Terms and Conditions of Use

Before using the room

  • Check to make sure that it is suitable for your purpose.

  • Familiarise yourself with fire exits and any health and safety requirements of the space you will be using.
  • Lodge payment of any fees and deposits required.

  • Please be aware that the library is cleaned every evening. Cleaners will not come into the meeting room during your booking but will vacuum and clean in the surrounding areas.

During use

  • Please respect other users of the library space and keep noise at a reasonable level.

  • Please do not attach any items to the walls or windows.

  • Ensure that fire exits remain clear and accessible.

  • Ensure that the library space is not being used for any illegal activities.

  • For after-hours bookings, please ensure that all participants have left the building by 10.30pm.

  • Library staff may visit the venue during the period of use.

You are welcome to arrange the furniture to suit your needs during your meeting. Please ensure it is returned to its original placement at the end of your meeting. You will find the furniture layout in the information folder.

After use

  • Please ensure that the room is left clean and tidy. If any cleaning is necessary after use, this may be charged to the user.

  • If you have used the kitchen facilities, please make sure that all dishes have been washed, dried, and put away.

  • Report any damage to equipment or buildings immediately to the Libraries Manager. Any repair work required may be charged to the user.

  • For after-hours bookings, please return key in the box provided and post through the after-hours book returns slot.

  • Make sure all rubbish is either in one of the bins provided or is taken with you if the bins are full.

Cancellation Policy

Bookings cancelled up to 48 hours in advance will receive a full refund.

Bookings cancelled less than 48 hours in advance will not be eligible for a refund.

Booking restrictions

No bookings will be taken more than three months in advance of the date of the booking.

Bookings for daytime use of the Constance Barnicoat Room and Motueka Library Community Meeting Room during the school holidays will be taken no earlier than six weeks prior to the holidays.

The Constance Barnicoat Room is unavailable before 9.30am on Wednesdays.

Recurring meetings

No more than four consecutive weekly bookings or three consecutive monthly bookings may be made by any group or individual.

All recurring bookings must be paid for or invoiced in advance.

Block Bookings

No more than two days may be booked per week.
